🌸 CANCELLATION POLICY 🌸

Important information about cancellations, changes, refunds and unexpected travel disruptions.

AVOCADO.TOURS CANCELLATION POLICY

Last Updated: September 2026

We understand that travel plans can change.

This Cancellation Policy explains the general approach to cancellations, amendments, refunds and no-shows for enquiries and travel arrangements made through Avocado.tours.

Because private journeys may include different hotels, transport services, experiences, restaurants, tickets and other suppliers, cancellation conditions may vary depending on the specific services included in your confirmed arrangement.

Any cancellation conditions provided in your quotation, booking confirmation, travel conditions or other contractual documents should be read together with this Policy.

Where specific contractual cancellation conditions apply to a confirmed booking, those conditions will take priority over this general website Policy.

1. Enquiries and Unconfirmed Proposals

Submitting a:

Plan Your Trip request, Private Charter request, Point-to-Point Transfer request or general enquiry

does not itself constitute a confirmed booking.

If you decide not to proceed while your request remains only an enquiry and no binding booking has been formed, there is ordinarily no cancellation of a confirmed travel service to process.

However, if you have separately authorised us to make reservations, purchase tickets or incur costs before final confirmation, any applicable charges will depend on the arrangement agreed with you.

2. When a Booking Becomes Subject to Cancellation Conditions

Cancellation charges may begin to apply once a booking or travel arrangement has been confirmed in accordance with the applicable booking or travel contract.

Confirmation may involve matters such as:

  • Written acceptance

  • Payment of a deposit or other required amount

  • Supplier confirmation

  • Acceptance of applicable travel or booking conditions

  • Issuance of a booking confirmation or contractual document

The applicable confirmation documents will identify the conditions governing your particular arrangement.

Do not assume that submitting a website form alone creates a confirmed booking.

3. How to Request a Cancellation

If you wish to cancel a confirmed arrangement, please contact Avocado.tours as soon as possible.

Your cancellation request should include:

  • The name used for the booking

  • The email address used for the enquiry

  • Booking or quotation reference, if available

  • Travel date

  • A clear statement that you wish to cancel

Cancellation requests should be sent through an agreed communication method or to:

Email: info@avocado.tours

The effective cancellation date and time may be determined according to the applicable booking or travel conditions and the time at which we receive and are able to process your request.

For urgent cancellations close to the travel date, please also contact our team by telephone where appropriate.

4. Cancellation Charges

Cancellation charges are not necessarily the same for every Avocado.tours arrangement.

The amount may depend on:

  • The type of travel contract or service

  • The date on which cancellation is requested

  • The number of days remaining before travel

  • Hotels or accommodation already reserved

  • Vehicle or transport arrangements

  • Experiences, restaurants or activities

  • Tickets or admission fees already purchased

  • Non-refundable supplier charges

  • Planning or arrangement fees where applicable

  • Other costs already incurred for the confirmed journey

Before or at the time a booking is confirmed, the applicable cancellation conditions will be provided or identified where required.

Where statutory or approved travel contract conditions apply, cancellation fees will be handled in accordance with those conditions and applicable law.

5. Supplier Cancellation Charges

Many services included in a private journey are provided by independent suppliers.

These may include:

  • Hotels and ryokan

  • Transport operators

  • Restaurants

  • Cultural or artisan experiences

  • Guides

  • Ticketing providers

  • Attractions

  • Other travel suppliers

Some suppliers may impose their own cancellation or amendment charges.

Certain reservations may become partially or fully non-refundable after booking.

Where supplier charges apply to your confirmed arrangement, these may form part of the amount payable upon cancellation, subject to the applicable travel contract and law.

Where reasonably possible, we will inform you of significant supplier-specific cancellation conditions before confirmation.

6. Changes Requested by the Traveller

If you wish to change rather than cancel your journey, please contact us as early as possible.

Requested changes may include:

  • Travel dates

  • Number of travellers

  • Destinations

  • Hotels

  • Vehicle arrangements

  • Pickup or drop-off locations

  • Experiences

  • Restaurants

  • Journey duration

  • Other services

We will make reasonable efforts to accommodate requested changes where possible.

However, changes may result in:

  • Price differences

  • Supplier amendment fees

  • Cancellation and rebooking charges

  • Loss of previously confirmed availability

  • Different vehicles, hotels or services

  • Changes to the itinerary

A requested change is not effective until it has been accepted and confirmed.

7. Reduction in Group Size

A reduction in the number of travellers may affect the total price or price per person.

This is particularly relevant where costs such as:

  • Private vehicles

  • Guides

  • Accommodation

  • Private experiences

  • Other fixed group costs

were calculated based on the original group size.

A reduction in participants should therefore not automatically be assumed to result in a proportional reduction in the total price.

Where a group-size change requires cancellation or amendment of booked services, applicable supplier or contractual charges may also apply.

8. Late Arrival and No-Show

If a traveller fails to arrive at the agreed place and time without prior notice, the arrangement may be treated as a no-show in accordance with the applicable booking conditions.

A no-show may result in substantial or full cancellation charges.

For private transport, travellers should contact us as soon as possible if delays occur due to:

  • Flight delays

  • Immigration procedures

  • Baggage delays

  • Train disruption

  • Traffic

  • Other unexpected circumstances

Where we have received accurate flight or travel information in advance, we will make reasonable efforts to manage foreseeable delays, but additional waiting time or operational charges may apply depending on the service.

9. Cancellations or Changes by Suppliers

Occasionally, a hotel, transport provider, experience operator or other supplier may cancel or materially change a confirmed service.

Where this occurs, Avocado.tours will make reasonable efforts to:

  • Inform you

  • Offer an alternative where reasonably available

  • Adjust the itinerary

  • Explain any price difference

  • Process any refund or other remedy that is due under the applicable contractual conditions and law

An alternative may not always be identical to the original service.

Where a supplier cancellation affects an important part of your journey, we will communicate available options as soon as reasonably practicable.

10. Weather, Natural Disasters and Other Disruptions

Travel may be affected by circumstances outside the reasonable control of either the traveller or Avocado.tours.

Examples include:

  • Typhoons

  • Heavy snow

  • Earthquakes

  • Flooding

  • Road closures

  • Railway disruption

  • Flight disruption

  • Government restrictions

  • Safety emergencies

  • Major supplier operational problems

  • Other extraordinary circumstances

The fact that travel becomes inconvenient does not necessarily mean that every service is automatically refundable.

The treatment of affected services will depend on matters including:

  • Whether the service can still legally and safely operate

  • Supplier policies

  • Applicable travel contract conditions

  • Whether an alternative can reasonably be arranged

  • Applicable law

We will make reasonable efforts to assist travellers and minimise disruption where practicable.

11. Refunds

Where a refund is due following a cancellation, the amount will be calculated after taking into account, where applicable:

  • Cancellation charges

  • Supplier charges

  • Non-refundable services

  • Services already provided

  • Other amounts permitted under the applicable contractual conditions and law

Any eligible balance will be refunded using an appropriate method.

The timing of a refund may vary depending on:

  • Supplier processing

  • Payment provider processing

  • Bank processing times

  • The complexity of the cancelled arrangement

We will aim to process refunds reasonably promptly after the refundable amount has been determined.

We do not guarantee a universal fixed refund-processing period because some refunds depend on third-party suppliers or payment providers.

12. Partial Cancellation

If only part of a confirmed journey is cancelled, the remaining arrangement may need to be recalculated.

For example, removing:

  • One hotel night

  • One experience

  • One traveller

  • Part of a private charter

  • One destination

may affect other connected arrangements.

A partial cancellation may therefore result in:

  • Cancellation charges for the removed service

  • Changes to remaining prices

  • Changes to vehicle requirements

  • Changes to itinerary feasibility

  • Additional amendment costs

We will explain material changes before confirming the revised arrangement where reasonably possible.

13. Unused Services After Travel Has Begun

If a traveller voluntarily chooses not to use a confirmed service after the journey has begun, a refund is not automatically available.

Examples may include:

  • Leaving an activity early

  • Choosing not to visit a confirmed attraction

  • Missing a restaurant reservation

  • Deciding not to use part of a scheduled vehicle service

  • Leaving accommodation earlier than planned

Any refund or adjustment will depend on the applicable travel contract, supplier terms and circumstances.

This does not affect any statutory rights that may apply where a service was not properly provided.

14. Changes to Travel Dates

A request to move a confirmed booking to another date may be treated as:

  • An amendment

  • A cancellation and new booking

  • Another form of contractual change

depending on the services involved.

Availability and prices for the new date cannot be guaranteed.

Seasonal pricing, weekends, public holidays, peak travel periods and supplier availability may result in a different price.

Where the original services cannot be transferred without cost, cancellation or amendment charges may apply.

15. Cancellation by Avocado.tours

Where Avocado.tours is required or entitled to cancel a confirmed arrangement, the rights and obligations of the parties will be determined according to:

  • The applicable travel contract

  • Booking conditions

  • Applicable travel business terms

  • Supplier circumstances

  • Japanese law

Where required, we will inform you of available alternatives, refunds or other remedies.

Nothing in this Policy limits rights that travellers have under mandatory applicable law.

16. Relationship With Specific Booking Conditions

This Cancellation Policy provides general information for users of the Avocado.tours website.

A confirmed journey may additionally be governed by:

  • A quotation

  • Booking confirmation

  • Travel contract

  • Travel conditions

  • Applicable travel business terms

  • Supplier-specific cancellation conditions

If those documents contain cancellation rules specific to your booking, they should be read together with this Policy.

Where there is an inconsistency, mandatory law and the specific contractual terms applicable to the confirmed arrangement will take priority.

17. Travel Insurance

We recommend that travellers consider suitable travel insurance that may provide protection for circumstances such as:

  • Unexpected cancellation

  • Illness or injury

  • Travel disruption

  • Delays

  • Lost baggage

  • Other insured events

Whether a particular cancellation is covered depends on the terms of the traveller's insurance policy.

Avocado.tours does not guarantee that cancellation charges will be recoverable through travel insurance.
